Sending many documents to a group of stakeholders for approval and signing
The following diagram illustrates the process of sending many documents to a group of stakeholders not all of whom need to sign or approve all documents in the ‘pack’.
In the first step the sender defines which documents should be sent out and who is involved.
In the second step the documents travel between relevant stakeholders in the defined order until all documents are signed.
In the final step, signed copies of the documents are distributed to relevant stakeholders’ My DocSafe accounts.
1.Upload the files you would like to send out for signing by either dragging and dropping them into the folder of your choice or by clicking ‘New’ and then ‘Upload’.
2. Once the files are uploaded, multi-select them by ticking the boxes to the right of their name and then click ‘send for signing’ button.
3. Define the signees (the set of people who should sign all documents). For example, if person A and B should sign document 1 and person B and C should sign document 2, then input email addresses of person A, B, and C.
4. Go through the Advanced Options if required, otherwise click “Continue”. The first document will open up in a viewer. You will be able to drag and drop signature fields for person A and B. For person C choose ‘Skip’. Then press ‘send’. Next, the second document will open up. You will be able to repeat the drag/drop procedure (make sure you skip the person who does not need to sign this document). Then click ‘Send Document’. Repeat this until all documents are sent.
5. After all documents are sent out, you can go back to your documents or monitor progress of the transactions.
