What is business proposals software?
In today’s fast-paced business environment, the ability to efficiently create, send, and manage proposals is more crucial than ever. The proposal software space serves a diverse clientele, ranging from freelancers and small businesses to large corporations, each seeking to streamline their sales process. Proposals are pivotal documents that outline the scope of work, pricing, and terms and conditions of a potential service or product offering. They are essential tools for securing new clients and projects, making the process of proposal generation, tracking, and signing a critical step in the sales and client onboarding process.
As businesses strive for efficiency and effectiveness, the demand for advanced quotes and proposals software has surged, highlighting the importance of electronic signatures, secure client access portals, and automation in enhancing the overall client acquisition experience.
Popular approaches
Existing vendors in the proposal software space offer a variety of approaches, each with its unique strengths, weaknesses, and pricing models. For instance, some platforms focus heavily on the design and aesthetic aspect of proposals. Think extensive customization options and templates to create visually appealing documents. These platforms often integrate electronic signature capabilities to facilitate faster closing times. However, they may fall short in areas such as advanced automation features or comprehensive client onboarding solutions. Other vendors prioritise functionality, offering robust automation tools that streamline the proposal creation process, follow-ups, and tracking.
These platforms may include features for secure client access portals, allowing for seamless document sharing and collaboration. Pricing models across these vendors vary widely, from subscription-based models based on the number of users or proposals sent to more flexible pay-as-you-go options. Despite the variety, a common challenge among many platforms is finding the right balance between usability, feature set, and cost.
How to choose the right business proposals platform?
Choosing the right business proposal software is a critical decision for any organization aiming to streamline its sales process, enhance client engagement, and ultimately close more deals. With a myriad of options available in the market, it can be challenging to discern which software best fits your business needs. This blog post aims to guide you through the key factors to consider when selecting a business proposal software, ensuring you make an informed choice that contributes positively to your operational efficiency and sales success.
- Ease of Use and Customization First and foremost, the ideal proposal software should offer an intuitive interface that requires minimal training to use effectively. The faster your team can adopt the tool, the quicker you’ll see results. Look for software that provides customizable templates which can be easily adapted to match your brand’s identity and the specific needs of each proposal. This not only saves time but also ensures consistency across all your documents.
- Integration Capabilities In today’s interconnected digital environment, the ability of your proposal software to integrate seamlessly with other tools in your sales and marketing stack is vital. Whether it’s your CRM, email marketing software, or accounting tools, integration capabilities ensure a smoother workflow, reducing the need for manual data entry and minimizing errors. Prioritise platforms that offer robust integration options that align with the software your business currently uses.
- Features and Functionality Evaluate the features that are essential for your business. Key functionalities might include electronic signature capabilities, which expedite the proposal acceptance process, thereby shortening the sales cycle. Additionally, consider whether the software offers automation for follow-ups and tracking analytics to monitor proposal engagement. This insight can be invaluable in refining your approach and improving conversion rates.
- Secure Client Access and Collaboration For businesses that require ongoing engagement with clients beyond the initial proposal, software that provides secure client access portals for document sharing and collaboration is a significant advantage. This feature enhances transparency, builds trust, and fosters stronger client relationships by creating a shared space for communication and document management.
- Scalability As your business grows, so too will your proposal needs. It’s crucial to choose software that can scale with your business, accommodating an increasing number of users, proposals, and complexity of projects without compromising performance. Consider the software’s subscription models and whether they offer the flexibility to scale up (or down) as required.
- Pricing and Value for Money Finally, assess the pricing model of the proposal software against the features and benefits it offers. While cost should not be the sole deciding factor, it’s important to ensure that you’re receiving value for money. Consider the software’s ability to save time, improve proposal quality, and increase conversion rates when evaluating its cost.

Detailed features
MyDocSafe lets you create separate groups for Prospects and Clients. In a Prospect group you can assemble quotes and proposals and send them to any email address. These quotes can include
- your services,
- ability to pay for them via Stripe
- contracts, terms & conditions or any “fine print” document you want to present at this stage
- an introductory video
- even ID verification service
Clients are secure client access portals designed for existing clients. Through those portals you can also send proposals and quotes to upsell work or renew contracts. You can create multiple ring-fenced groups for Prospects and Clients which is particularly useful if you need to ring-fence access to clients by different sales and account management teams (for compliance or privacy reasons).
Each MyDocSafe subscription package has a number of Proposals that can be sent in any particular month. Going over the limit will require an upgrade to a higher plan (which can happen automatically if you so choose or may require account owner’s manual intervention).
